Grants Management Project Officer

The Grants Management Project Officer role sits within the Net Zero Transport (NZT) team within the Climate Resilience and Net Zero Emissions (CRANZE) branch of the department’s Environment, Energy and Science (EES) division. The team is responsible for developing and delivering electric vehicle and low emissions vehicles programs under the NSW Electric Vehicle Strategy.

The NZT team is responsible for managing multi-million-dollar projects across four program streams. These programs aim to create a world-class road network of ultra-fast electric vehicle (EV) charging stations, support EV charging at tourism locations, increase EV uptake in fleets and support motorists to make their next vehicle an electric vehicle through compelling consumer information.

There are $256 million in grants, rebates and subsidies that will be delivered, administered and distributed through the EV Fleets Incentive, EV Fast Charging Grants and EV Destination Charging Grants work streams over four years.

We are looking for someone with strong grant and program management skills and experience in stakeholder engagement.

Primary purpose of the role

  • The role will be dedicated to program grants management for the Net Zero Transport (NZT) team. As a Grants Management Officer, you will be responsible for the ongoing management of awarded grants. The role will also help each program stream manage grant agreements and reporting processes with grant recipients.
  • The role will assist to systematize the development and maintenance of key program elements covering monitoring, reporting, evaluation and research. You will assist teams to build documentation and complete reporting in a timely manner, and work closely with central teams across the Division in order to standardize and undertake best-practice grants management. Key accountabilities

  • Stakeholder consultation, engagement and management, both internally and externally The preparation of program documentation including funding agreements and reports Negotiate funding agreements, make recommendations on variations to projects.
  • Process funding payments and maintain financial records Grants management, including tracking of grantee milestone payments, program budgets, and reporting obligations, ensuring records are accurate and complete.
  • Research and understanding of relevant grant management systems Preparation and delivery of presentations and information sessions Standardization of various program delivery mechanisms across program streams Evaluation and reporting including: analysis; data management, presentation.

Key knowledge and experience

  • Experience in the development, administration, management and operation of large-scale grant schemes or related programs involving budget and performance management.
  • Experience in delivering program outcomes including managing high volumes of information whilst meeting predetermined deadlines and defined standards.
  • Experience in managing programs that require a high level of governance, accuracy and accountability.

Key challenges

  • Monitoring program and project performance. Working collaboratively with internal and external stakeholders to adaptively manage and continuously improve programs and projects, to ensure program and organisational outcomes and standards are met.
  • Exercising sound judgement and discretion and ensuring effectiveness, accountability and transparency around multiple funding programs.
  • Providing accurate and timely advice whilst maintaining compliance and consistency with DPIE policy and procedures and legislative requirements.
  • Managing high volumes of work and gathering business critical information to meet conflicting and critical deadlines with minimal day to day guidance and demonstrating a high level of accuracy and attention to detail.
